This Privacy Policy explains what information USA Service Dogs collects when you use usaservicedogs.org, why we collect it, who we share it with, and the choices you have. It applies to our website, our registration and ordering process, and the emails we send you.

Information You Give Us

When you register a dog or place an order, we ask for:

About you: your name, email address, phone number, and the shipping address, state and ZIP code you provide.
About your dog: name, breed, date of birth, sex, a description, and any photo you upload for an ID card or certificate.
Order details: the products you select, sizes, and any customization.

Payment information. Card payments are handled by our payment processor. We do not receive or store your full card number. We receive a confirmation that payment succeeded, along with limited details such as the last four digits and billing ZIP code.

Health Information, If You Buy an ESA Evaluation

If you purchase an emotional support animal evaluation, you are being referred to an independent licensed mental health professional. During that evaluation you may disclose information about your health, including a disability or a mental health condition.

That clinical information belongs to the relationship between you and the therapist. The therapist keeps their own records as their license and professional obligations require. We receive only what we need to administer the referral and your order, such as the fact that an evaluation was scheduled or completed, which therapist you were assigned to, and whether a letter was issued or a refund is due. We do not ask the therapist for your diagnosis or clinical notes, and we do not use health information for advertising.

Information We Collect Automatically

Device and connection: your IP address, browser type and user agent, and the page that referred you to us.
Usage: pages viewed, steps completed in the registration flow, and which version of a page you saw if we are testing two versions.
Cookies: a session cookie that keeps you signed in to your registration while you complete it, load-balancing cookies set by our hosting provider, and advertising and analytics cookies described below.
Email activity: whether our emails were delivered, opened, or clicked, and whether you unsubscribed.

How We Use Your Information

To create your registration, produce your ID card, certificate and other items, and ship your order.
To refer you to a licensed therapist and administer that referral, if you purchased an ESA evaluation.
To take payment and to process refunds, exchanges and returns.
To send order confirmations, shipping notices, and service messages about your account or registration.
To provide customer support by phone, email and chat.
To send marketing email, which you can stop at any time using the unsubscribe link in any message.
To measure and improve the site, including testing different versions of a page.
To advertise our services, including to people who have visited the site before.
To detect and prevent fraud and abuse, to keep the site secure, and to comply with the law.

Who We Share It With

We do not sell your personal information for money. We share it with the following categories of recipients, for the purposes described:

Payment processing. Our payment processor receives what it needs to charge your card and handle refunds and disputes.
Shipping and fulfillment. Our shipping software and the postal carrier receive your name, shipping address and order contents in order to produce a label and deliver your package.
Email delivery. Our email provider sends order and marketing email on our behalf and reports delivery and engagement back to us.
Hosting and infrastructure. Our cloud hosting and database providers store the site and its data. Our logging provider stores server logs, which include IP addresses.
Independent licensed therapists. If you buy an ESA evaluation, the therapist assigned to you receives your name and contact information so they can schedule with you.
Advertising and analytics. Google and Microsoft receive information about your visit through tags on our pages, as described in the next section.
Reviews. If you choose to leave a review, our review partners receive the information needed to collect and publish it.
Optional add-ons. If you request an AI pet portrait, the photo you uploaded is sent to the service that generates it.
Professional advisors, and legal or safety needs. We may disclose information to our advisors, or when we believe disclosure is required by law, or necessary to protect our rights or someone's safety.
A business transfer. If we are involved in a merger, acquisition or sale of assets, your information may transfer as part of that transaction.

Cookies, Advertising and Analytics

We use Google Tag Manager to manage tags on our site, Google Analytics to understand how the site is used, and Google Ads and Microsoft Advertising to measure our advertising and to show ads to people who have visited us. These services set cookies and similar identifiers and may combine what they collect here with information they hold from other sites.

Under some state privacy laws, this kind of advertising is treated as "sharing" or as "targeted advertising," and you have the right to opt out. See "Your Privacy Choices" below.

Your Privacy Choices and Rights

Know what personal information we have collected about you, and get a copy of it.
Delete the personal information we hold about you.
Correct inaccurate personal information.
Opt out of the sale or sharing of your personal information, and of targeted advertising.
Limit how we use sensitive personal information.
Not be discriminated against for exercising these rights. We will not deny you service or charge you a different price for making a request.

To make a request, email orders@usaservicedogs.org or call 888-656-3647. We will verify your identity before acting on a request, usually by confirming details of an order you placed. An authorized agent may make a request on your behalf with proof of authorization.

You can stop marketing email at any time using the unsubscribe link at the bottom of any marketing message. We will still send you messages about orders you have placed.

How Long We Keep It

Your registration does not expire. Because we offer lifetime registration, we keep your registration and order information for as long as we need it to honor that, to provide customer support, to handle returns and exchanges under our return policy, and to meet our tax, accounting and legal obligations.

We keep other kinds of information for different lengths of time, depending on why we collected it.

Some records we keep on purpose even if you ask us to delete your information. If you unsubscribe from our email, we keep a record of that so that we do not email you again. We also keep what we are required to keep by law.

You can ask us to delete your personal information at any time. See “Your Privacy Choices and Rights” above.

Security

We use encryption in transit, restrict access to customer information to staff who need it, and rely on established vendors for payment processing and hosting. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children

Our site is intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us and we will delete it.

Other Sites

Our site links to other websites we do not control. This policy does not apply to them, and we are not responsible for their practices. Read their policies before giving them your information.

Changes to This Policy

We may update this policy. When we do, we will change the date at the top. If the changes are significant, we will give you more prominent notice.
